Best thing to come out of 2020…

Overall, I could not be happier with our experience with Filevine. It has exceeded our expectations and truly helped our firm in the last nine months. We were worried about transitioning with our staff, but the process went very smoothly given that we were working remotely at the time. The customer support that we received during our onboarding and integration could not have been better.

What they liked
  • My most loved feature of Filevine is the flexibility to customize it to fit your firm’s needs
  • It was extremely important to us to pick a case management software that allowed us to customize features based on all Case types that we handle
  • Filevine was extremely easy to learn and use to fit our firms needs
  • Additionally, the report writing and Filevine can be used by almost anyone
  • It is very easy to pull the information that you need in a very short amount of time
Room for improvement
  • There are a couple of newer features in Filevine that could improve
  • For example, the calendar section in Filevine is something that we currently do not use because of confusion on its integration with outlook
  • Additionally, I wish that Enterprise automation was a little easier to use
Switched From

Needles was unable to be customized to fit or growing firms needs. We were not able to create the custom fields that we needed to report on our caseloads. Additionally it was not cloud-based which was some thing that we truly needed given the era that we are in.

Why they chose it

"Filevine seemed to be the most advanced case management system at the time that we were shopping. The vendors were able to answer all of my questions about products, integration, adaptability, and daily use. The customer support was top-notch, and our demo was outstanding. As someone who was very hands-on in managing our last case management software, it was critical for me to get the straightforward answers I needed as we were shopping for a new case management software. Filevine was able to offer me the flexibility and customization that I needed as well as being easy to use for our staff."

Customizable Client Management for Attorneys

Overall, we've grown to really enjoy using Filevine. It's been so helpful to be able to customize the software.

What they liked
  • Our company has used Filevine for four years now and during that time we've seen a huge growth within the software
  • It began as a system we begrudgingly used, to one that we have heavily customized to fit our needs and have recommended to others
  • The thing I like most about Filevine is the ability to customize their software to fit your companies needs
  • The storing of client files is not going to be the same firm to firm so having the ability to customize the software to fit our needs is a huge asset
Room for improvement
  • We have found that Filevine can be slow or kick users out more often than other websites
  • In addition, the search feature, while wide, is also inefficient and doesn't show you the most logical result at the top, so you sometimes have to go digging for something you need
Switched From

We wanted something that could handle client management and document management in one.

FileVine Sucks

Overall, I would never recommend this as a case management system. I should have went with Clio or just left the current systems in place until I retired.

What they liked
  • It does allow you to fax and text from within the system
  • If you spend a ton of time and effort building your templates it does pretty much walk a person through what needs to be done, requested, etc
  • in a case
Room for improvement
  • I found it to be very difficult to learn and unless you have an in house amazing tech person like we do, I would not even consider it
  • For example, it calls cases "projects" the calendar is so bad that you must use outlook and sync with it, but anything entered in Outlook will not show-up in FV (Filevine)
  • You have to apply a special code for emails and for Outlook Calendar entries or they will not show-up at all in the FV system
  • The document assembly is very time consuming and you cannot File Save As
  • There is so much more I wish I knew before I spent a ton of time and money
  • While we are moving forward after spending $60,000 for the program, implementation and training I wish that I had never heard of FV
  • I am still going to use my old Word document case management until I retire and our newer attorneys can use FV
Switched From

Because younger attorneys wanted to be able to text from it and see there calendar in Outlook.

Why they chose it

"FileVine has great sales people that promise everything will work, but it does not work as described."

Possibilities are good, experience was not

I did not have a good experience as we are not a lawfirm and they do not have any templates that could have been shared or setup for investigations. They place you into a contract for a year so if you are not able to set it up or spend a couple thousand bucks to have them do it for you be careful with this option.

What they liked
  • Possibilities of what it could do if it was geared or had templates for investigators
  • This is for lawyers and will take some time and effort to get it working for investigators
Room for improvement
  • NOT FOR INVESTIGATORS
  • They do not have any templates and do not help with setting up the system to work for you
  • They upsell to their sister company to set it up

Filevine Experience

Verified reviewer

What they liked

It is easy to navigate and having the ability to customize the platform to our firms needs has been critical

Room for improvement
  • The search bar
  • When searching for projects in the "search bar", it leaves very little room for error
  • If you misspell a clients name, or leave out the middle initial it will not suggest projects with similar names
  • I've always found this odd
Switched From

We needed a product that was more up to date and allowed us to customize and bend to our needs.

BE AWARE: Technical experience needed to use this product

Timeline Summary •October 2023: Contracts were signed for Filevine software and Vinetegrate’s implementation, including data and document migration from the prior system. Vinetegrate set a Go Live date for February 2024 and required upfront payments and data backups. •November–December 2023: The company was required to deliver data backups to Vinetegrate. Early communication revealed challenges in linking and extracting documents from the legacy system. Vinetegrate issued technical upload instructions, and a contractor managed uploads. •January 2024: Ongoing technical issues with file uploads emerged, especially with folder structures. After uploads, Vinetegrate requested CSV exports instead of the previously provided FileMaker files, requiring duplicate work and causing frustration and extra cost. •February 2024: The scheduled Go Live milestone was reached, but documentation does not confirm if it occurred on time. •2024–2025: Communication gaps continued regarding data migration, technical support, and additional changes (such as required API updates) further complicated the process. Key Issues •Vinetegrate failed to communicate critical requirements upfront (e.g., need for CSV files), resulting in avoidable rework and costs. •The company was held responsible for technical tasks that were expected to be vendor-managed. •The schedule was strict for the company, but vendor requirements shifted after work began, leading to delays. •The vendor’s dispute process was one-sided, with broad leeway to assess “cooperation,” adding risk and inconvenience for the company.

What they liked
  • The sales process
  • Over-promise, under deliver on the actual product
  • If you are an enterprise level law firm, maybe this product is right for you, since you need to have the technical knowledge, in-house to be able to utilize the features to the fullest
Room for improvement

They charged $60k upfront for services and add-ons that were not only never used, but never setup or even deployed to a production environment

Why they chose it

"The former manager did and got sold without being aware of having to do all the technical work ourselves even though they paid for premium setup."

DON'T waste your money

It was ok at he beginning but when I tried using it the problems with it becMe so bad I had to switch to Docketwise. Docketwise is 3000x better.

What they liked
  • Nothing
  • The product is horrible and so difficult to use unless you are very computer literate
  • The company should be ashamed of itself for the quality and hte customer support
Room for improvement
  • 1) Difficult to use 2) AI is horrible 3) You have to apy to learn it and getting help after you pay $750 for an hour's worth of help you don't get support 3) I aske dor a month to month license and stupidly didnt ccheck to make sure it was correct and now I am builed monthly for this terrible product that was so difficult to use and ws not helpful for immigration cases
  • 4) I tried to get out of the contract but htey didnt care and I am stuck with a bill every month for a horrific product
  • Buyer beware
Why they chose it

"I thought it would be better but it was so bad that I ws upset with myself for making such a large mistake."

Good, but not Great CMS

Overall our experience at Filevine has been good - but it hasn't been great. We've generally been happy but we've had some concerns with support, customer service, and data storage.

What they liked

Filevine is really customizable which is great because we can tailor it to the needs of our firm

Room for improvement
  • It is rare that you are able to speak with someone directly at Filevine if you want to implement a new service or need assistance with a feature
  • They are always referring you to third party vendors
  • This is an issue because you are paying for customer support as well as the fact that you don't have access to the people actually making the software
Switched From

Casepeer didn't have as many features as Filevine and we needed more robust software.

Stay away from Filevine

Horrible. The onboarding is through 3rd party and has significant costs and delays. The service is very poor. The software has many glitches and the wait to get assistance is limited. Additionally, not enough documentation available. The actual product needs a full time tech support or onging subscription to 3rd party. All the features and settings that are done by the user with other software has to be done with a programmer. Software is limited and not worth the costs or the hassle.

What they liked
  • The concept
  • The idea of a software with a good activity feed and fluid use
Room for improvement

The actual product, the company behind the product, the sales approach, the support

Switched From

I found that Mycase development was a little stagnated from ownership change.

Why they chose it

"Overal costs and belief that it would be more forward thinking"

Filevine is great

Verified reviewer

What they liked
  • Everything is customizable, a lot of reporting features, great integrations, great task flow settings, and now the new Payments feature makes it even better
  • I like having everything we need in one place
Room for improvement
  • Their billing and sales team could use some training
Switched From

I hated everything about Clio. Needed a better system
